Job description: Main Duties & Major Responsibility:

The HRM General Assistant carries out responsibilities in some or all of the following functional areas:

- Recruitment

- Training and Development

- Employment law compliance

- Induction Program /Conducting orientation

- Employee benefits (C&B)

- HRIS, maintaining records and information

- Employee relations, organization development

- Handling grievances

- Disciplinary action

- Dismissals, Redundancies

- Administration

Main Duties & Major Responsibility in details:

- Laws and Regulation:

+ Collect, analyze and ensure the permanent watch of all the related applicable laws and regulation relevant to human resource field, analyze and maintain the list to be dispatch to every concerned party in the company.

+ Anticipate the risk exposure at corporate and factory level and advise on the preventive actions to be taken.

+ Provide the regulatory texts relevant to our activity in Vietnamese and in English language (with the support of a translator).

+ Analyze of the conformity of company activities in Vietnam vis a vis all the requirements.

+ In case of conformity: collecting and providing the documented evidence, maintaining the register and files of these evidences.

+ In case of non-conformity: providing an action plan and ensure it is applied.

+ Ensure the continuous update vis a vis new regulations.

- HR Processes & Application:

+ Assist HRM in creating, innovating, implementing & following up all above HR processes.

+ In case of any process has been missed by internal HR team or by any other departments, record should be made and warning should be spread to follow the processes and/or meeting organized to find out the reasons and fixed.

+ Contributing to team effort by accomplishing related results as needed.

+ Assisting with the day-to-day efficient operation of the HR office.

+ Taking lead of HR team in application following day-by-day tasks, included but not limited:

. Substantiates applicants' skills by administering and scoring tests.

. Schedules examinations by coordinating appointments.
Assists with recruitment and interview process.

. Welcomes new employees to the organization by conducting orientation.

. Doing training need analysis, organizing training courses and following up training effectiveness.

. Provides payroll information by collecting time and attendance records.

. Reconciles the benefits statements.

. Submits employee data reports by assembling, preparing, and analyzing data.

. Maintains employee information by entering and updating employment and status-change data.

. Provides secretarial support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining equipment and supplies.

. Maintains employee confidence and protects operations by keeping human resource information confidential.

. Maintains quality service by following organization standards.

. Performs customer service functions by answering employee requests and questions.

. Assists with the preparation of the performance review forms.

. Assists with processing of terminations.

- Reporting:

+ Prepare and maintain the weekly and monthly reports as per HRM, GM & BOD's requirements and submit at designated time.

+ Proposes the indicators and targets to the HRM, GM & BOD.

+ Prepare and issue the weekly and monthly progress reporting and submit at designated time.

- Other works will be assigned by HRM, GM & BOD.

  Job Requirement
General: Years of experience: At least 5 years
  Minimum career level: Manager
  Minimum education level:
  Minimum language: English - Level: Advanced
  General request: - 05 years experience in the same level or HR Generalist.

- Bachelor degree (priority: major in Human Resource field, oversea educated).

- 30 years old or more.

- Proficiency in Microsoft office and computer skill.

- Be able to use databases, spreadsheets, word processing and accounts packages.

- Bilingual English/Vietnamese necessary (both spoken & written).

- Deep knowledge in local rules and regulation and factory standards.

- Ability to write routine reports and correspondence.

- Enjoy working with people.

- Be patient, tactful, diplomatic and approachable.

- Be able to stay calm in difficult situations.

- Be confident about gathering facts and statistics.

- Respect the importance of confidentiality, as you will be dealing with employees'personal details.

- Be able to work accurately, with good attention to detail.

- Good communication, negotiating & problem solving skill necessary.

- People management & organizational skill are more of priority.

- Ability to work under high pressure.

- Ability to work with team.

- Ability to assess and comment of candidate.

- Honesty & Carefulness compulsory.
